Position Title - Administration & Projects Coordinator (Voluntary Position, Not Paid)
Reports to - Founder/CEO, Hope + Heal
Location - Inner Sydney
About Us
Hope + Heal is a registered not for profit charity that provides healing retreats to women who have experienced abuse/violence in their lives. We hold several retreats throughout the year in a safe and secluded resort not far from Sydney. Our aim is to provide a safe and nurturing space for women to reconnect with themselves after abuse, using holistic approaches for healthier relationships.
Hope + Heal also hosts a candlelight vigil on 25 November to coincide with the United Nation’s International Day for the Elimination of Violence Against Women. The Vigil is held in the Sydney CBD area.
The Role
The Administration & Projects Coordinator is a remote based position with the person ideally living in the inner Sydney area to allow for face to face meetings, working alongside our Founder. You will assist with

Developing and maintaining a working knowledge of all Hope + Heal activities and programs.

Providing program administrative support in the lead up to the retreats and candlelight vigils.

Coordinating and collating retreat participant intake and feedback forms.

Liaising with a range of participants and stakeholders for the retreats and vigil program.

Assist the Marketing Manager to distribute retreat marketing material.

Set up meetings, prepare agendas and share minutes for retreat and vigil meetings.

Provide bookkeeping and financial record keeping support.

Assisting with sending out invoices to referral agencies.

Develop and maintain stakeholder contact lists and participant and membership databases.

Assist to streamline processes.

Assist with grant research, writing and fundraising.

Event management and coordination with set up and pack up of vigil.

Other duties as required, broadly consistent with the role of administration.
Hours vary across main events:
Retreats are held several times a year and can require on average 2-4 hours per week leading up to the event.
Candlelight Vigil is held every November and requires about 2-4 hours a week leading up to the event and increases as it draws closer.
Skills and Experience

Demonstrated experience and skills in office and event administration and coordination.

Effective written and verbal communication and interpersonal skills, with the ability to liaise with people at all levels.

Strong organisational skills including the ability to time manage, multi-task, prioritise, produce work of high quality and consistently meet deadlines.

High attention to detail and problem-solving skills.

High levels of computer literacy, including knowledge of Microsoft Office suite and/or Google Workspace and Docs.

Experience with editing basic Powerpoint Presentations.

Strong evidence of ability to maintain confidentiality.
OPTIONAL CRITERIA
-
An understanding of trauma informed principles while working with people who are vulnerable with complex needs and circumstances.

Community sector experience will be highly regarded.
